Workday Transformation Report
New Date: URL Impacts from Workday Migration to Public Cloud Servers
Workday’s move to commercial cloud hosting has been rescheduled from October 24 to December 12. Only the date has changed; all other details and recommended preparations remain the same.
You’ll continue to access Workday at workday.umd.edu, but other external Workday URLs will no longer work after the December 12 migration. Examples of impacted Workday URLs include:
- Browser bookmarks
- Links in emails sent prior to December 12
- Direct links to tasks, reports, and dashboards
One way to prepare is to start using Workday’s built-in menu items and shortcuts instead of browser bookmarks or links in past emails. Learn how to add or edit menu items and shortcuts in Workday.
Workday Virtual Agent: Improving Guidance Around Security Roles
The Workday Virtual Agent will now tell you when you need a specific security role to complete a task. This will help explain why you may receive instructions for a task you don’t have access to perform in Workday.
The Virtual Agent will list the security roles needed for the task and link to the View Security Roles job aid, so you can check whether you have the right access.
Updates and Collaboration News
State Central Payroll Bureau (CPB) Moving to SPPS Starting January 1, 2027
The State of Maryland Central Payroll Bureau (CPB) is migrating their payroll system from an outdated legacy system to an application of their own Workday system. The Statewide Personnel System (SPS), which UMD employees currently use only for benefits, will become the Statewide Personnel and Payroll System (SPPS).
Read the Email Message Regarding the Change
We know that having multiple systems that can look and feel the same can be confusing. Here is a quick comparison of the systems:
UMD Workday
- Employees use UMD Workday for time entry, absence requests, HR processing, learning, and managing personal information.
- Employees access UMD Workday with UMD credentials via SSO.
SPS Workday (becoming SPPS January 1, 2027)
- Employees can change/view benefits, dependents, and beneficiaries.
- Employees log in using their SPS Employee ID (W#).
Beginning January 2027:
- Employees will also use it for state payroll activity such as direct deposit forms, withholding forms, payslips, and more.
Use or Lose Annual and Personal Leave Reminders
As we approach the end of the calendar year, please be mindful of Annual Leave and Personal Leave balances.
HR Analysts and HR Partners can access the RPT042 Absence Management Time Off Report Use or Lose on the HCM Dashboard in Workday. This report shows each employee’s current time-off balance and projected year-end balance.
Managers and supervisors must approve all employee time-off requests promptly. If managers do not approve time-off requests, the leave hours will not be deducted from the employee’s leave balance. Managers can run the “Time Off Approvers with Events Awaiting Action” report in Workday to review outstanding absence requests.
Keep HCM Transactions Moving
If you have a core HCM role, you should regularly run RPT3184 Pending HCM Core Business Processes from the HCM dashboard under the “Awaiting Approval and Terminating tab” to review in-progress transactions and identify where they may be stuck. Take a look at older transactions and determine whether they’re still needed or can be canceled.
